Our team ensures compliance with university/office policies and procedures along with federal regulations regarding release and verification of academic records. The Assistant Supervisor may additionally assist in the preparation of training materials, training new employees, updating procedure manuals. This position will also assume supervisor responsibilities, such as maintaining division financial records and troubleshooting issues, when the Transcript & Verifications Supervisor is not available. Responsibilities 1. Ensures productivity of area staff members; provides support and encouragement as needed; fosters team cooperation and collaboration; coordinates task when assisting other divisions2. Provides prompt, reliable, and friendly service to students, colleagues, agencies and the general public.3. Communicates policy and procedure information to various constituents. Makes appropriate referrals as necessary.4. Ensures compliance with university policies and procedures as well as state and federal regulations, particularly regulations pertaining to confidentiality and proper disclosure of information. Interprets and makes exceptions to policy within the boundaries of training and empowerment by higher authorities.5. Enters data, files records, and interacts with students, campus agencies, and the general public concerning the creation, maintenance, and/or verification of academic records that accurately reflect student coursework and degree attainment.6. Contributes to analysis of current process and suggest improvements as needed to continually make the team more efficient and to provide better service to those we serve. 7. Assists with staff selection, training, and evaluation processes.8. May assist Supervisor with updating the procedure manual as appropriate.9. May assist other areas within the Registrar's Office on projects that affect graduation processes.10. Perform other related duties as assigned. Minimum Qualifications Three years of general office experience, one of which in an academic setting; and demonstrated human relation and effective communication skills required. College coursework in a related area is preferred. Departmental Specific Qualifications1. Three years of general office experience, preferably with one year in an academic setting.2. Demonstrated organizational, human relations and effective communication skills are also required. 3. A college degree is preferred.4. Familiarity with PeopleSoft preferred.5. Exceptional attention to detail.6. Proven ability to provide high quality and quantity of work.7. Demonstrated problem-solving ability.
